## Record and purpose

I1 retains the case owner, options, learner agreement, state and confirmation
for the proposed internal-course trial. ID-DEF1 defines agreement. O1/P1/R1
supply business purpose and the handover rules.

An accepted owner transfer changes assignments together and preserves the case
state. A repeat cancellation attaches to the existing active case. Resolved
cases remain available according to the retention decision below.

## Responsibilities and access

The service owner approves meanings and exceptions; the steward maintains
these definitions; RO1 updates the case. Booking staff verify booking references.
The receiving owner must accept a transfer before it takes effect. A partner
exception stays with the internal owner pending the service owner's decision.

Only assigned roles may change the current case or agreement. Other authorised
users receive the view needed for their work. The precise permissions and
sharing arrangements are open decisions before a real trial.

## Corrections and copies

Keep the source interaction reference, recording person, acceptance time and
agreement version. A correction links to the superseded version and explains
why it changed. Recheck any confirmation that used it. Notify people using
an affected copy or report, recording the version supplied. Define update
and acknowledgement arrangements before introducing such copies.

## Retention and retirement

Resolution ends the active case work. The service owner must decide why and
how long case data and agreement references remain, the review trigger and
what happens to history, copies and recovery data. These periods and disposal
arrangements are unknown in this fictional example and must be settled before
real records are used. Retirement must account for the destinations of shared
data, with completion recorded.

## Methodology configuration

State rules could sit in a process model, service record or data specification.
Use the team's activity names for accepting, correcting, transferring and
retiring records. The service review handles definition and retention decisions.

## History and open decisions

Version 1.0, September 2026; proposed, with the service owner as decision owner.
Open: detailed permissions, retention, recovery and how recipients acknowledge
corrections. L1 introduces partner confirmation responsibility; revisit the
sharing and transition rules before extending the trial.
